The purpose is straightforward: to pause and consider whether it is safe to begin. When the outcome is negative, it means that a risk has been identified that makes the work unsafe at that moment. What should happen next is less clear to many employees and supervisors than it ought to be.

In this article, you will find a step-by-step guide on what to do after a negative LMRA: from stopping work immediately to returning to the workplace. A clear procedure prevents confusion at the moment it truly matters.

What a negative LMRA actually means

Before you can take the right steps, it is important to understand what a negative LMRA means. The Last Minute Risk Assessment is not a formality. It is a deliberate choice to pause and ask yourself: is the situation safe enough to begin?

An LMRA is negative when you answer “no” to at least one of the key questions. Think of questions such as:

Do I know what I need to do and how to do it safely?

Is the workplace free of unexpected hazards?

Do I have the correct personal protective equipment?

Are the conditions as expected?

A negative outcome does not mean that something has gone wrong or that someone has made a mistake. It means precisely that the system is working: an employee has recognised a risk that requires attention. The next step is not to carry on and hope for the best, but to stop and report the situation. That is exactly what the LMRA procedure is designed to achieve.

Stopping work step by step after a negative LMRA

Stopping work after a negative LMRA sounds straightforward, but in practice employees sometimes hesitate. Time pressure, social pressure, or uncertainty about the procedure can lead someone to continue regardless. Make sure the steps are clear, so that employees know exactly what to do when they identify a risk.

Stop the preparation or execution of the task immediately. Do not take any further action, even if you have already begun preparations.

Remove yourself and others from the immediate danger zone if the situation requires it. The safety of people comes before everything else.

Secure the workplace where necessary: place barriers, put up warning signs, or take other measures to prevent others from unknowingly entering the hazardous area.

Record what you have observed. Write down what the risk is, where it is located, and at what point you identified it. This forms the basis for the report that follows.

After completing these steps, the immediate situation is under control. Check that everyone in the vicinity is aware of the identified risk before proceeding with the report to the supervisor.

Informing the supervisor in the right way

Inform your supervisor as soon as possible after stopping work. The sooner the report is made, the sooner action can be taken. A good report is concrete and complete, so that the supervisor immediately understands what is happening and what decision needs to be made.

When informing your supervisor, always include at least the following information:

Which task you intended to carry out

What the identified risk is

Where the risk is located

Which steps you have already taken to secure the situation

Whether there are others nearby who may be at risk

Avoid vague descriptions. Do not say “something doesn’t seem right”, but describe the risk as specifically as possible: “The scaffolding is not properly secured on the side at column three.” The more concrete the report, the more quickly the supervisor can assess what needs to happen. If the supervisor is not immediately reachable, contact the designated substitute or follow your organisation’s internal escalation procedure.

Recording and reporting the work interruption

A verbal report is a good first step, but a written record is at least as important. Document the work interruption carefully, so that the situation is traceable and lessons can be drawn from it.

Record the following information in your organisation’s designated registration system:

Date, time, and location of the work interruption.

A description of the task that was to be carried out.

The identified risk, described as specifically and factually as possible.

The measures taken immediately, such as securing the workplace or informing colleagues.

The name of the supervisor who was informed and the time of the report.

Good documentation helps your organisation to recognise recurring risks and implement structural improvements. It is also a way of demonstrating that the LMRA procedure is being followed in practice. Use the registration system your organisation has set up for this purpose, or ask your supervisor which form or digital tool is available.

Returning to work: when and how

After a negative LMRA, work may only be resumed once the identified risk has been eliminated or sufficiently controlled. The decision to resume does not rest with the employee themselves, but with the supervisor or an authorised person within the organisation.

Before resuming, verify the following:

Has the risk been resolved, or have control measures been put in place that make it safe to start?

Has permission been granted by the supervisor or responsible person?

Has the workplace been reassessed and found to be safe?

Are all those involved aware of the situation and the measures taken?

Carry out a new LMRA before resuming work. This is not a redundant step: conditions may have changed, even if the situation appears the same as before the interruption. Only when the new LMRA has a positive outcome should you begin the work. This closes the loop and ensures that the procedure is followed consistently.

Training employees on correct LMRA follow-up

An LMRA procedure only works if employees know what to do and genuinely feel safe stopping. That requires training that goes beyond explaining the steps. Employees need to understand why the procedure exists and what is expected of them when they identify a risk.

Effective training on LMRA follow-up includes at least:

An explanation of what a negative LMRA is and what it means in practice

Concrete examples of situations in which stopping is the right choice

The steps that follow a negative LMRA, including reporting and documenting

Practice in recognising risks in situations relevant to their own work

Attention to the social dimension: how do you handle pressure from colleagues or time pressure?

Repetition is valuable here. A one-off instruction is rarely sufficient to change behaviour in a lasting way. Regular refreshers, linked to current situations on the shop floor, help employees to internalise the procedure and act on it even under pressure.

How we help with LMRA follow-up training

Training employees on the correct follow-up to a negative LMRA requires an approach that fits the reality of the workplace. Not everyone has access to a laptop or a company account, and classroom-based training is not always practical to organise.

With our platform, you send safety instructions and knowledge checks about the LMRA procedure directly to employees’ phones via WhatsApp. This makes training accessible to everyone, including employees without a business email address or a fixed workplace. What we offer:

Ready-made or custom-built microlearning modules on LMRA and safety behaviour

Automatic translations into more than 50 languages, so that employees who speak other languages also receive the instruction in their own language

Knowledge checks that show whether employees understand the procedure

A dashboard showing who has completed the training and who has not yet done so

No additional app or login procedure required for employees

Would you like to see how to set up LMRA training practically for your team? Get in touch with us and we will show you what is possible through a personal demo of our platform.

What should you do after a negative LMRA?
